Council Solution
– COMPREHENSIVE COUNCIL LOST PROPERTY
Empower every building across your council with its own easy-to-use electronic lost property system
Originally developed for the rail industry, our lost property system was built to handle high-volume usage, supporting hundreds of employees accessing it via mobile devices. Recognising that councils operate differently – with fewer lost property cases and limited access to council-issued mobile devices – we’ve redesigned the solution to better suit council environments.
Managers with mobile devices can still enjoy on-the-go access, but the system is primarily designed for seamless use on PC – making it accessible to all staff. As soon as an item is handed in, it can be digitally logged in minutes and stored in the usual location, removing the hassle of paper forms and manual filing.

Found an Item? Here's How Simple It Is:
- Whether it’s a council employee or a member of the public, anyone can hand in a lost item.
- The item is brought to the front desk of the building - no fuss, no delay.
- Staff quickly log the item using intuitive lookup tables, making the process fast and foolproof.
- Sensitive items like cash, credit cards, passports, and other valuables are handled with extra care and attention.
Lost Something? Here's How We Help You Find It:
Misplaced something? Don’t worry – our system makes it easy to reconnect with your lost belongings.
- Simply visit your council’s website and answer a few quick questions.
- Our smart algorithm instantly searches across all participating council buildings.
- If there’s a match, you’ll be told exactly where your item is waiting.
- If not, the system keeps checking daily for up to three weeks.
- And if your item turns up during that time – you’ll be notified automatically.
Collecting the item:
When the person comes to collect their lost item, they’ll be asked a few simple verification questions – i.e. identifying special marks or unique features – to ensure its theirs.
Once confirmed, the item is handed over, and a few quick details about the return are entered into the system.
What happens to unclaimed items?
After a user-defined period (e.g., x months), the system generates a report listing all unclaimed items due for disposal.
Staff can then enter a disposal code, and all selected items are automatically marked as disposed – whether they’re donated to charity, sent to an auction house, or otherwise handled.
It really is that simple. No training is required, and the system delivers significant benefits at a low cost, saving time, reducing paperwork, and improving customer satisfaction.
